View & edit orders

The ability to administer your orders is an absolute must for any company selling and shipping goods. The administration area allows you to do many tasks, such as viewing orders, editing them through to changing the order status and using tools such as emailing your client or emailing invoices, all from one screen.
To administer these settings login to your administration area. Click on the tab "Members or Order" and from this page click on the link "View | Edit orders" which can be found under the sub-heading "Orders".
When your main "Orders" setting page loads you will see a list a of current orders and several search boxes and options. You can opt to find any particular order by using the search options open to you.
To simply change the order status, choose the relevant option from the "change status" type drop down. This will automatically send an email to your client (if enabled) and apply the change to the order.
You can use this to permanently delete an order. However, "please note this cannot be undone".

Note: To keep your site running as optimised as possible we recommend you delete all orders that are either not complete, cancelled or still waiting payment, at given intervals. Naturally, allow sometime before doing this to ensure these orders really are not required. After a few months would be a good time frame.
To view the details of an order, view payment card details (if using this feature), change an order, or email the client, find the order in question from the list and click on either the "order number" or "client name".
The order detail will be shown and you can view the full order details. From here you also have access to the "Smart action tools" which will look much like this;

Depending on the features you are using and specific requirements of the order, you may also see some or all of the following in the "smart Action Tools" area.

The tool buttons, how to use and what they are for;
| Email client: | This takes you to the main email a client area. |
| Email invoice: | This opens in a small pop up window to allow you to email your client. See Send an email and Email templates - allows you to email invoices and reminders with auto content. |
| Packing slip: | This opens in a small pop up window to allow you to print a packing slip. This does not contain prices. |
| Invoice: | This opens in a small pop up window to allow you to print an invoice. |
| Card details: |
This "requires" the use of an "SSL" certificate otherwise the system will NOT allow you to view any details. This window opens in a small pop up and after confirming your login details will allow you to view the information to enable you to process the order. "Please note" your settings on the e-cart page to how long this information will be available before "automatically being removed" to assist compliancy with the Data protection act. |
| Edit order: | Here you can change many areas on the order including removing items and changing prices. Remember to click the "submit" button once you have completed your changes. |
| Register client: | This allows you to register the client on your website. Complete the relevant boxes as per the "administer your members" instructions. |
| View account: | This opens in a new window to allow you to view the member’s full details any additional notes and contact information. Changing the clients email address here will also update all past orders, review and mailing list entries. See "administer your members" for more |
| Check VAT: | If this button shows on an order you can click it. This will open a new window and go online and automatically check the client's VAT number with the EU database. This helps identify fraudulent orders and allows you to determine if the VAT can be removed from the order under normal laws applicable in your country. |
